Administrative Office IPURPOSE OF THE POSITIONThe Administrative Office I position is responsible for providing administrative and clerical services in order to ensure effective and efficient administrative operations. The Administrative Office I position must comply with Authority policies and procedures.SCOPEThe Administrative Office I position reports to the Finance Director and is responsible for providing secretarial, billing, collection and clerical services to the Clairton Municipal Authority Office.RESPONSIBILITIES* Perform clerical duties* Conducts special work assignments and reviews work produced to ensure quality standards are met.* Learn policies, procedures and computer systems* Follow performance standards for clerical staff* Document all billing office activitiesBilling* Prepare invoices for customers on a monthly basis* Provide information for input into General Ledger accounts* Responsible for Accounts Receivable, including:* Billing and collections and all reports prepared* Verifies and records deposits and transfers* Issues customer refunds* Prepares data for delinquent collections and liens* Monitors and facilitates the collection of delinquent accounts by billing and collection* Customer Service* Takes customer concerns with sewage structures, dispatches the collection system employees and then follow up with the customer* Records, issues and tracks sewer tapping fees* Prepares records for audit and assists auditors during the annual auditGeneral Office Responsibilities* Maintains Inventory of office supplies* Prepares Board meeting documentation including agenda* Stays current with office automation trends and recommends system or software upgrades when appropriate* Assists with data archiving and data retrieval* Prepares No-Lien Letters for sale of property, bankruptcy and sheriff sales* Collects fees and processes paperwork for dye tests* Other duties as assignedMINIMUM REQUIREMENTS* Associates degree preferred* Five year's work experience in a similar position* Full Time position (40 hours per week)* Familiarity with billing software packages (Munilink)* Excellent benefit packageSubmit resume and cover letter to:CLAIRTON MUNICIPAL AUTHORITY1 NORTH STATE STREETCLAIRTON, PA 15025ATT: Finance Director
